Flipz Academy / SPC is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information. We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information. A copy of the Australian Privacy Principles may be obtained from the website of The Office of the Australian Information Commissioner at www.oaic.gov.au Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and facsimile numbers. This Personal Information is obtained in many ways including [interviews, correspondence, by telephone and facsimile, by email, via our website www.flipz.au, from our website, from media and publications, from other publicly available sources, from cookies] and from third parties. We don’t guarantee website links or policy of authorised third parties. We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing. When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it. Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information. Sensitive information will be used by us only: Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party. Your Personal Information may be disclosed in a number of circumstances including the following: Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure. When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years. You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing. Flipz Academy / SPC will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information. In order to protect your Personal Information we may require identification from you before releasing the requested information. It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue providing quality services to you. Policy overview and purpose Social media is changing the way we communicate. This policy has been developed to inform our community about using social media so people feel enabled to participate, while being mindful of their responsibilities and obligations. In particular, this policy provides practical guidance allowing all parties to benefit from the use of social media, while minimising potential risks and protecting those involved. This policy assists to establish a culture of openness, trust and integrity in all online activities related to Flipz Academy / SPC. This policy contains Flipz Academy / SPC guidelines for the Flipz Academy / SPC community to engage in social media use. It also includes details of breaches of the policy. In circumstances where guidance about social media issues has not been given in this policy, we suggest you use common sense or seek out advice from those who have approved this policy. Underlying principles This policy complements Flipz Academy / SPC’s core values: Coverage This policy applies to all persons who are involved with the activities of Flipz Academy / SPC whether they are in a paid or unpaid/voluntary capacity and including: Scope Social media refers to any online tools or functions that allow people to communicate and/or share content via the internet. This social media policy applies to platforms including, but not limited to: This policy is applicable when using social media as: NOTE: This policy does not apply to the personal use of social media where it is not related to or there is no reference to Flipz Academy / SPC or its business, competitions, teams, participants, products, services, events, sponsors, members or reputation. However, any misuse by you of social media in a manner that does not directly refer to Flipz Academy / SPC may still be regulated by other policies, rules or regulations of Flipz Academy / SPC. Using social media in an official capacity You must be authorised by Flipz Academy / SPC Director before engaging in social media as a representative of. To become authorised to represent Flipz Academy / SPC in an official capacity, you must have written authorisation from Director of Flipz Academy / SPC. As a part of Flipz Academy / SPC’s community you are an extension of the Flipz Academy / SPC brand. As such, the boundaries between when you are representing yourself and when you are representing Flipz Academy / SPC can often be blurred. This becomes even more of an issue as you increase your profile or position with Flipz Academy / SPC. Therefore it is important that you represent both yourself and Flipz Academy / SPC appropriately online at all times. Guidelines You must adhere to the following guidelines when using social media related to Flipz Academy / SPC or its business, products, competitions, teams, participants, services, events, sponsors, members or reputation. Use common sense Whenever you are unsure as to whether or not the content you wish to share is appropriate, seek advice from others before doing so or refrain from sharing the content to be on the safe side. When using social media, the lines between public and private, personal and professional, may be blurred. Remember, you are an ambassador for Flipz Academy / SPC. Protecting your privacy Be smart about protecting yourself and your privacy. When posting content online there is potential for that content to become publicly available through a variety of means, even if it was intended to be shared privately. Therefore, you should refrain from posting any content online that you would not be happy for anyone to see, even if you feel confident that a particular individual would never see it. Where possible, privacy settings on social media platforms should be set to limit access. You should also be cautious about disclosing your personal details. Honesty Your honesty—or dishonesty—may be quickly noticed in the social media environment. Do not say anything that is dishonest, untrue or misleading. If you are unsure, check the source and the facts before uploading or posting anything. Flipz Academy / SPC recommends erring on the side of caution – if in doubt, do not post or upload. Do not post anonymously, using pseudonyms or false screen names. Be transparent and honest. Use your real name, be clear about who you are and identify any affiliations you have. If you have a vested interest in something you are discussing, point it out. If you make an endorsement or recommendation about something you are affiliated with, or have a close relationship with, you must disclose that affiliation. The web is not anonymous. You should assume that all information posted online can be traced back to you. You are accountable for your actions both on and offline, including the information you post via your personal social media accounts. Use of disclaimers Wherever practical, include a prominent disclaimer stating who you work for or are affiliated with (e.g. member of Flipz Academy / SPC) and that anything you publish is your personal opinion and that you are not speaking officially. This is good practice and is encouraged, but don’t count on it to avoid trouble -– it may not have legal effect. Reasonable use If you are an employee of Flipz Academy / SPC you must ensure that your personal use of social media does not interfere with your work commitments or productivity. Respect confidentiality and sensitivity When using social media, you must maintain the privacy of Flipz Academy / SPC’s confidential information. This includes information that is not publicly accessible, widely known, or not expected to be shared outside of Flipz Academy / SPC. Remember, if you are online, you are on the record—much of the content posted online is public and searchable. Within the scope of your authorisation by Flipz Academy / SPC, it is perfectly acceptable to talk about Flipz Academy/ SPC and have a dialogue with the community, but it is not okay to publish confidential information of Flipz Academy / SPC. Confidential information includes things such as details about litigation, unreleased product information and unpublished details about our Members or Centre: e.g. team, coaching practices, financial information and trade secrets. When using social media you should be considerate to others and should not post information when you have been asked not to, or where consent has not been sought and given. You must also remove information about another person if that person asks you to do so. Permission should always be sought if the use or publication of information is not incidental, but directly related to an individual. This is particularly relevant to publishing any information regarding minors. In such circumstances, parental or guardian consent is mandatory. Gaining permission when publishing a person’s identifiable image You must obtain express permission from an individual to use a direct, clearly identifiable image of that person. You should also refrain from posting any information or photos of a sensitive nature. This could include accidents, incidents or controversial behaviour. In every instance, you need to have consent of the owner of copyright in the image. Complying with applicable laws Do not post or link to content that contains illegal or indecent content, including defamatory, vilifying or misleading and deceptive content. Abiding by copyright laws It is critical that you comply with the laws governing copyright in relation to material owned by others and Flipz Academy / SPC’s own copyrights and brands. You should never quote or use more than short excerpts of someone else’s work, and you should always attribute such work to the original author/source. It is good practice to link to others’ work rather than reproduce it. Discrimination, sexual harassment and bullying The public in general, and Flipz Academy / SPC’s employees and members, reflect a diverse set of customs, values and points of view. You must not post any material that is offensive, harassing, discriminatory, embarrassing, intimidating, sexually explicit, bullying, hateful, racist, sexist or otherwise inappropriate. When using social media you may also be bound by Flipz Academy / SPC’s values and Anti-Discrimination, Harassment and Bullying Policy. Avoiding controversial issues Within the scope of your authorisation by Flipz Academy / SPC, if you see misrepresentations made about Flipz Academy / SPC in the media, you may point that out to the relevant authority in your Centre. Always do so with respect and with the facts. If you speak about others, make sure what you say is based on fact and does not discredit or belittle that party. Dealing with mistakes If Flipz Academy / SPC makes an error while posting on social media, be up front about the mistake and address it quickly. If you choose to modify an earlier post, make it clear that you have done so. If someone accuses Flipz Academy / SPC of posting something improper (such as their copyrighted material or a defamatory comment about them), address it promptly and appropriately and if necessary, seek legal advice. Conscientious behaviour and awareness of the consequences Keep in mind that what you write is your responsibility, and failure to abide by these guidelines could put your MEMBERSHIP at risk. You should always follow the terms and conditions for any third-party sites in which you participate. Branding and intellectual property of Flipz Academy / SPC You must not use any of Flipz Academy / SPC’s intellectual property or imagery on your personal social media without prior approval from Flipz Academy / SPC. Flipz Academy’s intellectual property includes but is not limited to: You must not create either an official or unofficial Flipz Academy / SPC presence using the organisation’s trademarks or name without prior approval from Flipz Academy / SPC. You must not imply that you are authorised to speak on behalf of Flipz Academy / SPC unless you have been given official authorisation to do so by Flipz Academy / SPC Where permission has been granted to create or administer an official social media presence for Flipz Academy / SPC, you must adhere to the Flipz Academy / SPC Branding Guidelines. NOTE: Branding Guidelines All media and branding information must be approved by Flipz Academy / SPC Director ONLY and has his written approval recorded. Policy breaches Breaches of this policy include but are not limited to: Reporting a breach If you notice inappropriate or unlawful content online relating to Flipz Academy / SPC or any of its members, or content that may otherwise have been published in breach of this policy, you should report the circumstances immediately. Please report this directly to Flipz Academy / SPC management by email to: memerships@flipz.au Further information about reporting breaches: Investigation Alleged breaches of this social media policy may be investigated according to Flipz Academy / SPC’s Members Protection Policy, Attachment D: 3 Investigation Process Where it is considered necessary, Flipz Academy may report a breach of this social media policy to the police. Disciplinary process, consequences and appeals Depending on the circumstances, breaches of this policy may be dealt with in accordance with the disciplinary procedure contained in the Flipz Academy’s Members Protection Policy. Employees of Flipz Academy who breach this policy may face disciplinary action up to and including termination of employment in accordance with Flipz Academy Members Protection Policy or any other relevant policy. Appeals Any person who is sanctioned under a disciplinary process for breach of this policy may have a right of appeal under Members Protection Policy Attachment D 4: Hearing & Appeals Tribunal Procedure. As your child is in a competitive activity held by or under the auspices of the Flipz Academy / SPC, Gymnastics Queensland, Gymnastics Australia or a member association, you must as parents or guardians meet the following requirements in regards to your conduct at Flipz Academy / SPC or during any activity or event.Parents Code of Conduct
In addition to Gymnastics Australia’s General Code of Behaviour, you must meet the following requirements in regard to your conduct during any activity held or sanctioned by Flipz Academy / SPC, Gymnastics Queensland, Gymnastics Australia or a member association in your role as a coach held by or under the auspices of Gymnastics Australia, a member association or an affiliated club.Coaches Code of Conduct
Updated 10th February, 2017 As Flipz Academy / SPC is located in SEQ and it is expected that temperatures may reach levels near and above 40 degrees Celsius at times. We wish to advise all members that we will at all times be diligent and caring and provide the best we can to assist with the safety of children and staff in regard to reactions from exposure to extreme heat. In the event of high temperatures the staff of Flipz Academy / SPC are instructed to follow the guidelines as specified in the “BEAT THE HEAT” fact sheet as issued by Sports Medicine Australia. A copy of the fact sheet is available on the Flipz Academy / SPC website or upon request. SPC policies are set within the following parameters and temperature range: Any child that exhibits signs of heat fatigue will be removed from the class and sat in a quiet place in the coolest available area. We will provide air conditioned space if available in cases of serious concern. In the event of any extreme reaction or concern Flipz Academy / SPC staff are advised to seek medical assistance. Flipz Academy / SPC wishes to advise that we will endeavor to provide care to all children but we cannot be held responsible for changes in the weather or extreme conditions. It is the responsibility of parents to monitor the conditions and make the appropriate decision to attend or not. We encourage all parents to remove children from classes if they are concerned. In the event of any of these actions we cannot offer refunds or make up classes as we are required to have staff in attendance to assist children who are unable to be picked up.Flipz Academy / SPC Hot Weather Policy
Gymnastics Australia Photography Policy Gymnastics Australia Photography Policy Images of people enjoying Gymnastics are part of the sport’s historical culture and identity. Gymnastics Australia is mindful of its duty of care to our members, with best intentions of protecting children and young people from potential risk. In keeping with a number of local municipalities in Australia and also leading sports organisations worldwide, Gymnastics Australia implements a Photography Policy which will be applicable and enforced at all Gymnastics Australia events and all associated Clubs. The greater ease of taking and modifying images has raised concerns in today’s society about the potential risks of child abuse posed directly and indirectly to children and young people through the inappropriate use of photographs on sports websites and in publications. Therefore, with the exception of Winkipop Media personnel and accredited members of the press, DIGITAL SLR CAMERAS AND/OR LENSES OF A PROFESSIONAL STANDARD will not be permitted within the confines of any venue that hosts a Gymnastics Australia Clubs or event. Gymnastics Australia Clubs and Venues acknowledges that family and friends wish to take their own images for memories from Training or Championships and this is supported if using a mobile phone ‘point and shoot’ model camera. No professional standard digital cameras and/or lenses may be used at any training or events. Gymnastics Australia staff and Clubs officials, as well as Winkipop Media personnel, are authorised to request users to cease using this equipment. Please note that the above policy applies to ALL who are present at the Club and event, including ensure that State Team members and other team officials.
Extra Insurance – Sports Cover information
The Health Insurance Act 1973 (Cth) does not permit the Trustee or Insurer to contribute to any charges covered by Medicare (including the Medicare Gap).
Personal Injury coverage through your club is limited by the Health Insurance Act. As such, Marsh encourage participants of to investigate the benefits of private health insurance.
*Please note: MRI scans are generally claimable through Medicare, however sometimes the referrer and/or provider is not registered with Medicare. Please check with your treating physician prior to lodging your claim.
In addition, there will be no refund in respect of:
- Any expenses recoverable by you from any other insurance scheme or plan providing medical or similar coverage or from any other source except for the excess of the amount recoverable from such other policies/plans.
- Any expense to which the National Health Act 1953 (Cth) or any of the regulations made there under apply.

- All claims must be notified to the insurer, Sportscover, within 120 days of the accident or injury occurring.
- Complete all relevant sections of the claim form and copies of original receipts of any medical expenses that have been incurred relating to the accident or injury.
